Accounts with Ann is a firm of Chartered Accountants. We need to hold certain information in order to fulfil our services of providing taxation services and the other ancillary services as agreed in our Letters of Engagement. We may also collect information about you when you ask us to provide you with a quote for undertaking taxation services.
We can collect Data via email, telephone, post or information in the public domain eg Companies House.
The Data that we may collect from you is:
Personal Information eg Name, Address, Date of Birth, Unique Taxpayer’s Reference
Details of the services that I provide to you together with any correspondence and communications that I may have had from you
Correspondence that we have had with you in respect of the services provided by you.
Data Security
We have commercially available back up procedures for our IT systems and our files are maintained in a fire proof locked filing cabinet.
We have in place procedures to deal with any suspected data breach and will advise you or Information Commissioners Office where we are legally required to.
Data Retention
We will hold your personal data for as long as necessary to enable us to fulfil our contract. We will consider how long we are required to retain this information in order to fulfil our contract.
Right of Access
The information that we hold needs to be correct so where for example you change address we need to be informed so that the information we hold can be updated.
We have 30 days to respond to your request for access to your Data and the transfer of Data should be in a portable format. Any request for Data will be provided free of charge.
Right to Rectification and Erasure (the right to be forgotten)
We can erase Data when it is no longer necessary for the purpose it was originally collected for.
You may also withdraw your consent to us holding Data. However there may be an exemption for The Right to be forgotten as we may need to hold Data for eg 6 years as required by HMRC.
